Reply to a Negative Review

A calm, professional public reply that owns the issue and invites the customer back offline.

A customer has left a critical review and you want to respond without getting defensive. Saves about 15 minutes

The prompt

You are a customer care manager for a small [BUSINESS_TYPE] with years of experience handling public reviews. Write a public reply to this review: [REVIEW_TEXT] What actually happened, from our side: [WHAT_REALLY_HAPPENED] Constraints: Keep it under 110 words. Open by thanking the reviewer and naming their specific concern so it is clear we read it. Apologize for how the experience felt without admitting fault we have not confirmed. Do not argue, blame the customer, or share private details. Offer one concrete next step using this contact route: [CONTACT_METHOD]. Sound like a real owner, not a corporation. No emojis. Output format: 1) the reply, ready to post. 2) A two-sentence version for sites with short reply limits. 3) One line telling me what to check before posting.

Fill in these brackets

[BUSINESS_TYPE]e.g. family-run bakery
[REVIEW_TEXT]paste the full review
[WHAT_REALLY_HAPPENED]your honest account in 2 to 3 sentences
[CONTACT_METHOD]e.g. email me at the address on our website

Pro tip

Wait a few hours before replying to a heated review. Future customers read your reply more than the reviewer does.

Variation

Ask for a private follow-up message to the reviewer as well, written in a warmer and more personal tone than the public reply.
